So they were not in a hurry to get this done and Im not in a hurry to give them a quote.
I was contemplating cleaning these seats by hand only. Dunking a hand mitt in a bucket of encap wringing it out and scrubbing the seats with it, then use a dry hand mitt to remove moisture , carding if necessary and snail fan.
No need to worry about over wetting, pile distortion, wand marks, too much vac, hoses, solution lines, electrical cords, fuel consumption etc

If you are gonna have to towel dry them anyhow, why not just vac power? Then maybe you can eliminate the need for a fan. If they are velvet, you'll probably need to card them anyway.

Okay, the mit idea isn't a bad one at all. Your shoulder might fall off if you do it solo, but not a bad idea provided you don't run into the chairs with gum, spilled beverages, or the child that pooped their pants.....actually same goes for the adult.
If you can inspect all the chairs and verify that you don't have those problems, then it might work. Just take a spot extractor and a dripod or something for those seats that require more work. I would also take that new spotter with you....might be a life saver.

The manager did say that a few did have some spills and being that this is a retirement community it may be an accident

No maybe about it...you will be scrubbing a bio-hazard with gram negative bacteria. How does that $3 per chair sound to you now?
If it is just a few chairs, not a deal breaker, but you will want to know that up front.

Sounds pretty cheap when you put it like that Rob. Another good point was about the arms falling off. The pain in my shoulder last night reminded me about that.

It sounds like you really want to tackle this job and we know that they want YOU to tackle this job. The hard part of negotian is over...you have the job, just have to make it acceptable for both on the money-side.
At this point, consider this. Make an appointment with them to inspect the chairs with you. When you see a "special" seat stained with what-ever, let them know that it might be fecal matter or urine.
This place knows all about that issue and will certainly nod in agreement. Ask them if they would clean that for $3 and if they say yes, give them $3 and tell them you will get a bucket and be right back.
Once the ice is broken, tell them that you are willing to cut them a deal if they will be willing to agree to scheduled cleanings (Quarterly or Semi-annual).
Get yourself a few helpers and go at it!
Just have a back-up plan ready if your Karate Kid method doesn't work the way you hoped.

Make sure all your helpers are young and skinny. Over weight old guys don't last long.

Rob maybe I just need some balls and just tackle this thing. I have a nice Saphire Upholstery tool, a portable spotter, a hand help OP machine and a TNT truckmount so I have all the tools.

I have an Idea. Would two of you guys like to visit beautiful Prescott, AZ. We can split the job 3 ways I pay for a night stay at The Motor Lodge. Lets see 480 seats x $3.50 to $5.00 per seat. It could be a working vacation. Work that day, party that night go home with some cash. What do you say? PM me if your shy.
DP, Dave, Andy. Rob wouldn't it be nice to get out of Nebraska in January? You can fly directly to Prescott from LAX or Colorado. Anyone else needs to fly into Phoenix and 2 hour shuttle to Prescott.

It's funny how most theaters that I have worked all have about the same number of chairs...must be an industry template or something.
If I was near, I would help you Mo, but you would be losing money sponsoring me like that. I would get your son to being a couple of friends to make some good beer money and knock this job out with the 4 of you.
This isn't a movie theater so how often do they actually use this theater? If you have a few nights, you could knock it out over a couple of nights without a lot of help.
I would always suggest at least one helper on all night commercial jobs. This goes for all types, not just theaters as you never know what will go wrong. Might need another hand to make repairs or to take over due to illness or injury. Worst case, you collapse with a medical emergency...if you are solo, they will not find you until morning.

If you tell them you're "flying in two specialist from CA and NE", that should certainly justify your price of $8 a chair!!

See what kind of history you can find for those seats as well. Locate a label in the back, see if they have records on who they purchased them from, etc.
I find that the manufacturer is often very helpful in helping you choose the method and chemicals that best work on their product.
One last point, but an important one....flame retardants. At some point the flame retardant that is added to the seats will be cleaned away. IF they ever had a fire, the Fire Marshall will test the material to see if it had it or not, so be sure to discuss this with the customer. Either add the retardant (added labor and material costs) or else just be sure to add a statement about it in the agreement to remove yourself from the liability loop.
